Synthetic Sports Field Tender Documents Checklist
A strong sports-field tender should make it difficult to substitute a superficially similar but technically different product. The document schedule should identify the exact proposed system, the evidence required and who is responsible for installation, testing and local approvals.

Match federation evidence to the offered system
If FIH, FIFA, World Rugby or ITF evidence is required, ask for current documentation that applies to the exact product/system offered and identify any finished-field testing or certification still required after installation.
Request installation and base requirements
The tender pack should include substrate tolerances, falls, drainage interfaces, installation manual, approved/recommended installer requirements and any environmental conditions that affect installation.
Request warranty and maintenance together
A warranty without the maintenance conditions is incomplete. Require the current warranty, exclusions, maintenance manual and any specialist equipment or consumables needed to maintain the system.
Use a substitution rule
Require substitutes to be compared as complete systems. Similar colour, pile height, yarn appearance or price should not be accepted as proof of technical equivalence.
