Resort & Destination Development Project Planning Guide

Large resort and destination projects are rarely solved by one catalogue. Start with the development brief, separate the site into operating zones, define climate and destination conditions, then build a controlled supply package from established Apollo systems and qualified project-sourced products.

Start with the development brief, not the product list

Record the destination, project stage, key count or development scale, target opening programme, drawings or BOQ, intended guest profile and major operating zones. This gives Apollo enough context to decide which established systems already fit and where targeted sourcing is actually required.

Avoid locking individual products too early when the wider development still has unresolved architectural, operational or logistics interfaces.

Break the project into operational zones

Guest villas and residences, pool and beach, wellness and spa, restaurants and bars, sports and recreation, family amenity, public realm, architectural systems and waterfront areas all create different technical and procurement questions.

Treat each zone as a controlled package inside one development brief so products can be reviewed together without pretending every category follows the same standards, installation method or supplier pathway.

Use existing Apollo systems first

Where AEGIS PRIME, AUVENOR, VELARIS, SVALDR, NORDVAL, CIVARO, pools, sports, façades or other established Apollo systems fit the brief, they should remain the first reference point because product ownership, technical pathways and current website information already exist.

Project sourcing should fill genuine portfolio gaps, not create unnecessary duplication or add products simply because they appear in a supplier catalogue.

Qualify sourced products before they enter the offer

For project-sourced categories, Apollo should confirm the legal manufacturing entity, product capability, technical documentation, relevant testing or certification, export readiness, commercial warranty, spare-parts support and any manufacturer engineering or installation role before the product is included in a controlled project quotation.

A supplier submission, marketplace listing or brochure is not the same as Apollo approval.

Design for the destination climate and exposure

Coastal salt, tropical heat and UV, intense rainfall, wind, cyclone or hurricane exposure, humidity and maintenance access can change materials, coatings, controls, fixings, service intervals and technical evidence requirements.

Resorts in Fiji, Tonga, Samoa, the Pacific, the Middle East and other exposed markets should be reviewed against the actual site rather than assumed to share one regional specification.

Keep guest operations in the specification

Hospitality products have to work for staff as well as guests. Consider opening hours, cleaning, storage, service access, controls, noise, lighting, queueing, privacy, guest circulation, maintenance windows and replacement pathways before finalising a system.

A product that looks appropriate architecturally can still be a poor resort choice if daily operation, serviceability or parts support is weak.

Separate Apollo supply from local project delivery

Apollo remains supply-only. Installation, site supervision, local structural or MEP design, foundations, civil works, commissioning where not expressly included, engineering sign-off and statutory approvals remain with the manufacturer, approved specialist or client-side project team as applicable to the selected product and destination.

Where a manufacturer offers site guidance or approved local partners, that support should be written into the project scope rather than implied.

Plan freight and receiving before final procurement

Resort sites can have difficult ports, island transfers, restricted roads, crane limits, limited storage and staged construction. Define the intended handover point, importer or receiving party, unloading method, storage condition, onward transport and site-access restrictions before the supply package is frozen.

Repeated rooms, villas or amenity zones may benefit from labelled packing, room or zone schedules, spare components and staged shipment planning.

Return one controlled project offer

The final Apollo offer should clearly state the products, quantities, configuration, technical documents, project-sourced items, freight scope, handover point, manufacturer support where applicable and excluded local responsibilities.

This keeps Apollo as the commercial relationship while maintaining clear boundaries between Apollo, the manufacturer and the client's local project team.

Apollo uses the project RFP to decide which established systems and qualified sourced categories belong in the final package. Project-sourced products are not treated as permanently approved catalogue items until Apollo has sufficient evidence and commercial reason to publish them.
