Use these templates to keep the complete field system, evidence, civil interfaces, installation, maintenance and finished-field responsibilities visible. The schedules deliberately leave product-specific values open until current technical documents for the exact offered system are verified.
Controlled tender wording
These clauses can be copied into an early tender or consultant schedule, then completed against the exact sport, destination and selected field system.
The tender return shall identify the exact sports-turf product and complete system build-up offered, including turf, infill where applicable, shockpad or elastic layer where applicable, joining materials, line-marking method and any other component required for the stated performance pathway.
Where FIH, FIFA, World Rugby, ITF or other stated performance evidence is required, the tenderer shall provide current documentation applicable to the exact product/system offered and shall identify any finished-field testing, certification or validation required after installation. Brand-level claims or evidence for a different construction shall not be treated as equivalent.
The sports-surface supplier shall state the required base tolerances, falls, drainage interfaces and substrate conditions for the offered system. Local civil design, earthworks, base construction and drainage engineering remain with the appointed project team unless expressly included in the supply scope.
The tender return shall identify installation requirements, approved or recommended installer expectations, commissioning requirements and any finished-field testing applicable to the project. Installation and testing responsibilities shall be stated clearly before order.
The tender return shall include the current warranty applicable to the exact supplied system together with the maintenance requirements, exclusions, inspection expectations and any specialist equipment or consumables needed to maintain the stated performance.
A proposed substitute shall be compared as a complete field system. Similar pile height, colour, yarn appearance or price does not establish equivalence. The substitution review shall include exact system build-up, current test evidence, maintenance, warranty, installation, destination conditions and any certification pathway required by the project.
